Share Groups
Share Groups are lists of recipients that can be used for sending invitations for Share Links or Inboxes. This allows you to send invitations to sets of recipients more than once.
Example Use - Soliciting Bids
Imagine that your organization interacts with groups of subcontractors to bid on specific projects. You need to provide a set of specifications for the subcontractors to review and also provide a way for them to upload their bids.
First, create an Inbox folder to receive the bids and a Share Link to publish the specifications. Configure the Share Link to allow downloads and associate the Inbox with the Share Link for uploads.
Create a Share Group that contains the contact information for the group of contractors you wish to solicit bids from. There's no limit to the number of groups you can create. For example, you could create groups based on whether the recipients are on an approved list of contractors, the size of the job they specialize in, the area where they operate, or any other way you could imagine.
Once the Share Link, Inbox and Share Group are ready, generate email invitations to provide a unique link for each subcontractor.
Share Group Structure
Share Groups include a Share group name to provide quick reference as well as an optional Internal note.
Each Share Group can contain up to 50 separate recipients. Each recipient must have an Email address and may also have a Name and Company.
Access To Share Groups
Each user who has sharing permissions has full access their own list of Share Groups. They can create a new Share Group, as well as edit or remove each Share Group.
Administrators cannot see or modify other users' Share Groups.
Share Groups Are Web-Only
Share Groups can only be used in the web interface. If you have a use case for using a Share Group to send invitations using any of our official SDKs, please let us know.
Email Recipient Restrictions
Site administrators can restrict the email addresses or domains that can receive Share Link or Inbox invitations by changing your site's global settings.
Invalid addresses can be added to a Share Group without receiving an error, but invitations won't be sent to those addresses. When you attempt to use a Share Group containing email addresses that don't match the restrictions, no invitations will be generated until you remove the invalid addresses.
